For all visits to customers, travel expenses are charged as flat rates.
Why Flat Rates?
 
Those flat rates are based on the cost of a fictitious, normal business trip to the destination.

These sums are determined in advance in accordance with a published set of rules, enabling clients to assess the expected cost even before the trip actually takes place - an effective, transparent and simple method that offers advantages to all parties concerned.

The Cost of a Trip
Our flat rates are based on the cost of a typical trip from Nürnberg to a customer's site. They are subdivided into these three components:
  a. Travel cost (round trip) Details
  b. Cost per day of the trip Details
  c. Hotel bill  
    (if not paid for directly by the customer) Details

3 day trip to London, 1 person =
1 x item a + 3 x item b

Here is a summary of the cost calculation for a typical trip:

Our Rules for the Calculation of Travel Expenses

 
1. Calculation of the Travel Cost (Round Trip)
a.  Travel by Airplane
This is how we calculate:

The cost for a

flight ticket from N�rnberg to the destination airport and back

based on Lufthansa's C class fare (total ticket price including all applicable taxes and fees)
+ A fixed amount for transportation to and from N�rnberg airport

A fixed amount per kilometer of the distance from the airport to the customer's site (rental car fuel cost)
b.  Travel by Company Car
If the trip is made by company car the expenses are calculated using a fixed rate per kilometer of the distance between N�rnberg and the customer's site. (Our prices per km are in accordance with the ADAC's specification of costs for mid-range cars.)

If a typical itinerary requires any relevant cost not covered by the standard formula (e.g. road toll fees for long driving distances), then these are also added to the flat rate.
2. Calculation of the Flat Rate per Day of the Trip
This is how we calculate:

A fixed amount per employee for each full or partial day of a trip + The cost of a rental car*
(not applicable if the trip is made by company car)


A fixed rate per kilometer for the distance between the hotel and the customer's site
(the amount depends on whether a rental car or a company car is used)
* (We charge the rate published for a week day by Avis minus 10%.)
3. Calculation of the Cost of Accommodation
If the hotel bill is not settled directly by the customer to the hotel, then the actual total of the hotel bill including reasonable amounts for meals and telephone are added to the flat rate.

FAQ

This FAQ has two sections: The first section explains how the relevant prices are calculated in detail, the second part deals with general questions.
 
1. Our Prices Explained
a.Travel by Airplane
  Transportation to/from N�rnberg airport
The 50 € we charge cover the typical taxi fare from the home of our employees to the airport and back.
 
  Flight
The price we charge is Lufthansa's C class fare for a flight from Nürnberg to the destination and back (ticket total price including all applicable taxes and fees).
 
  Price / Kilometer (Rental Car)
0,25 € per km cover a rental car's fuel costs at an average consumption rate of 10 l per 100 km. fuel consumption / 100 km = ca. 10 l

fuel consumption / 1 km = 0,1 l = ca. 0,12 €

0,12 € / km x 2 ways = 0,25 € / km
This price comprises two ways (there and back).

We charge this price / km for the distance from the airport to the customer's site as well as from the hotel to the customer's site.

How Do We Determine Distances?
 
b.Price / Kilometer If Trip Is Made by Company Car
We charge a price of 0,60 € / km. As two ways - there and back - have to be taken into account the total price / km amounts to 1,20 €.   0,60 € x 2 ways = 1,20 € / km of the overall distance

We charge this price / km for the distance from Nürnberg to the customer's site as well as from the hotel to the customer's site.

How Do We Determine Distances?
 
c.Flat Fee per Employee and Day
We charge a flat fee of 50 € per employee and (full or partial) day.
 
d.Rental Car
The price of a rental car derives from Avis's rate calculation (referring to a VW Golf rented on weekdays) minus 10% of the price given there.

(This does not apply if the trip is made by company car.)
 
 
2. General Questions
a.Why Flat Rates?
 
Calculating travel expenses as a flat rate* allows to know the costs of a trip beforehand. Thus, flat rate pricing facilitates budgeting for our customers and lowers the amount of time going into invoice issuing and control. It is applied as of January 1, 2002.

Our flat rates are determined according to fixed and easily comprehensible rules on the basis of a standard trip from Nürnberg to a customer's plant.

b.How Do We Determine Distances?
For the calculation of distances we rely on Microsoft MapPoint.
 
c.Why Does the Customer Directly Settle the Hotel Bill?
Direct payment of our employees' hotel bill by the customer has advantages for all parties concerned: For the customer this way of proceeding saves VAT and we gain certain tax allowances by it.
